This Legal Secretary position, based in Mbombela, is permanent and focuses on delivering administrative and secretarial support within the civil unit of the organization.
Role and Key Responsibilities
The successful candidate will be responsible for a range of duties that support the civil unit’s operational effectiveness. Key outputs include:
- Administrative Support: Managing and organizing administrative tasks following Legal Aid SA’s policies and standards.
- Secretarial Assistance: Delivering efficient support services to the civil unit, including typing, proofreading, copying, and distributing documents.
- Coordination: Managing diary and filing systems to ensure legal practitioners have timely access to necessary resources and documentation.
- Document Management: Developing and maintaining systems to track the receipt and distribution of documents, including those from other offices or opponent attorneys.
- Information Gathering: Coordinating interviews, assisting in routine form completion, and ensuring timely submission for approval.
- Record Keeping: Updating meeting schedules, filing systems, and documentation to maintain seamless office function.
- Asset Management: Reconciling office assets monthly and maintaining inventory control over office supplies and stationery.
- Communication Handling: Managing mail registers, handling document deliveries, and following up on mail and court documents sent by Docex.
- Report Management: Assisting practitioners with completing Matter Activity Reports (MARs) and updating information on civil unit web pages.
- Telephone Etiquette: Maintaining accurate message-taking and customer service standards, ensuring all telephone communications reflect Legal Aid SA’s professionalism.
Essential Skills and Competencies
Candidates must demonstrate strong organizational skills, attention to detail, and the ability to communicate effectively in both written and verbal forms. Key competencies include:
- A National Senior Certificate (Matric).
- At least one year of experience in administration and secretarial roles within a legal setting.
- Familiarity with basic computer software packages.
- A diligent work ethic with attention to detail.
Remuneration
The position offers a Basic Salary of Level 5 (R211,737.00) per annum, including benefits, as per Legal Aid SA’s policies.
