The Personal Assistant to the Public Protector will manage administrative, secretarial, and logistical arrangements for the Public Protector’s office. Qualifications & Requirements
To qualify for this position, you must meet the following criteria:
- Educational Background: A three-year National Diploma at NQF Level 6 in Business Administration, Public Administration, Public Management, or Office Management and Technology.
- Experience: Minimum of five years in administrative or secretarial support, with specific experience in logistics.
- Legal environment experience is essential.
- Public sector experience is an advantage.
- Previous experience handling state or formal events is preferred.
- Technical Skills: Proficient in Office 365 and general computer literacy.
- Other Requirements:
- A valid driver’s license.
- Strong communication abilities, analytical skills, and the ability to manage multiple tasks under pressure.

Key Responsibilities
As the Personal Assistant, your day-to-day tasks will include:
- Diary Management: Coordinate the Public Protector’s schedule, including phone calls, meetings, and events.
- Travel Coordination: Arrange travel and accommodation, manage cancellations, and handle claims and forms related to travel expenses.
- Financial Handling: Manage petty cash, process receipts, and maintain financial records related to office expenses.
- Record Management: Implement and maintain an efficient registry and records management system.
- Document Preparation: Prepare memos, reports, and other official documents on behalf of the Public Protector.
- Visitor & Correspondence Management: Act as the first point of contact, handle correspondence, and direct communication to the relevant departments.
- Meeting Coordination: Arrange and organize meetings, workshops, and transcribe proceedings to ensure that minutes and decision registers are recorded and followed up.
- Office Operations: Support office operations by developing and implementing Standard Operating Procedures (SOPs) and assisting with any additional tasks required by the Public Protector.
