The University of Cape Town (UCT) is seeking a dedicated and experienced individual to join the School of Economics within the Faculty of Commerce as a Postgraduate Administrative Officer. This is a permanent position aimed at providing expert academic administration and operations management support to postgraduate programs in the School of Economics. The role involves a direct reporting line to the Departmental Manager and is essential in maintaining the School’s high standards in academic service delivery.

The Postgraduate Administrative Officer will play a pivotal role in supporting staff and students within the postgraduate department, ensuring efficient administrative processes, timely support, and an organized academic environment. Key Responsibilities
The appointed Postgraduate Administrative Officer will be responsible for various administrative and support functions within the postgraduate section, including but not limited to:
- Postgraduate Program Administration: Handling all aspects of postgraduate administrative support, including application processes, scheduling, registration, and examination coordination.
- Course Management: Ensuring smooth operation in course administration activities such as marks processing, timetable scheduling, and management of examination processes.
- Student Support: Providing essential support for postgraduate students and assisting with their academic journey from application through to completion.
- Database and Information Management: Maintaining and manipulating data and databases pertinent to the postgraduate administration and ensuring accuracy and efficiency.
- Staff Management: Leading and coordinating administrative staff within the postgraduate section to ensure that all tasks align with the School’s academic objectives.
- Administrative Planning: Overseeing the planning and coordination of all postgraduate course information and associated resources.
The role will require the candidate to work with various digital platforms and systems, and to uphold high standards of organizational and communication skills.
Requirements for Applicants
Prospective candidates should meet the following minimum requirements:
- Educational Background: An NQF level 5 qualification with at least three years of relevant academic administration experience in a tertiary environment.
- Experience in Course Administration: Familiarity with marks processing, scheduling, and handling examination processes.
- Process Management: Skilled in managing academic administration processes and understanding institutional academic policies and procedures.
- Digital Proficiency: High competency in Microsoft Office, with intermediate skills in Excel, and experience with ERP systems.
- Attention to Detail and Time Management: Ability to work under pressure and meet tight deadlines accurately.
- Communication Skills: Strong written and oral communication skills with a proven ability to interact effectively with diverse stakeholders, including students, staff, applicants, and external parties.
- Organizational and Interpersonal Skills: Highly organized with excellent interpersonal skills and an ability to work both independently and as part of a team.
- Flexibility: Willingness to work overtime during peak periods.
Additional Advantages include:
- An NQF level 6 qualification with five years of student administration experience.
- Familiarity with academic systems like PeopleSoft, VULA/Amathuba, and Business Objects.
- Experience in committee servicing.
Employment Terms and Benefits
This permanent position is graded at Payclass 08, with an annual compensation package that includes benefits. The cost of employment is negotiable based on skills and experience and ranges between R415,430 and R488,741.
