The selected candidate will be part of the Facilities Department under Infrastructure Design and Construction at NWU’s Mahikeng Campus. The Project Administrator will play a crucial role in managing administrative tasks and supporting project execution.
Job Responsibilities
1. Project Administration
The Project Administrator will be responsible for all administrative tasks related to project execution. This includes:
- Ensuring all contractual requirements for projects are met throughout the project life cycle.
- Keeping project information up to date for quick access and responses to queries.
- Coordinating communication among project stakeholders through emails, letters, and notifications.
- Supporting project teams by managing contracts, site instructions, extension approvals, completion certificates, and scheduling necessary appointments.
2. Meeting Administration
- Organizing and administering project-related meetings.
- Preparing agendas, minutes, and distributing them to relevant stakeholders.
- Ensuring meeting minutes are well-documented and of high quality.
3. General Office and Team Support
- Providing administrative assistance to ensure smooth project operations.
- Managing travel and accommodation arrangements for the team.
- Being the single point of contact for ordering office supplies.
- Coordinating postal and delivery services.
- Collecting client feedback for project satisfaction reports.
4. Financial Administration
- Processing payments according to NWU financial policies.
- Managing fund transfers between projects or users.
- Capturing and managing new creditors on the financial system.
- Administering contractor-related transactions such as banking details updates.
5. Compliance Liaison
- Ensuring that project documentation complies with NWU’s financial and procurement policies.
- Reviewing contracts and ensuring all authorizations are in place for extensions, approvals, and contract instructions.
6. Records Management
- Implementing a record management system to store and track all project documentation as per departmental processes.
Minimum Requirements
To qualify for this position, candidates must meet the following criteria:
Education:
- Diploma in Administration (NQF Level 6) or a similar qualification.
Experience:
- A minimum of three (3) years of experience as a Project Administrator.
Additional Advantages & Preferences:
- Diploma in Bookkeeping (NQF Level 6).
