Minimum Requirements
To be considered for the role of Special Projects Coordinator, applicants must meet the following criteria:
- Educational Requirements:
- A Bachelor’s degree (NQF Level 7) in Public Administration/Management, Business Administration, or Business Management Sciences.
- A recognised Project Management qualification is required.
- Experience:
- At least three years of experience in a Project Management environment, preferably within the ETD (Education, Training, and Development) sector or the skills development sector.
- Proven ability in coordinating, implementing, monitoring, and evaluating projects or programmes.
- Skills and Knowledge:
- Extensive experience in stakeholder management and good negotiation skills.
- A sound understanding of the regulatory and legislative frameworks within skills development, including the Public Finance Management Act (PFMA).
- Strong report writing and presentation skills.
- Proven proficiency in MS Office and the ability to work with data.
- A valid driver’s license is essential.

Key Responsibilities
As a Special Projects Coordinator, you will be required to perform a wide range of duties aimed at ensuring the effective and efficient management of special projects. Below is a list of some of the primary responsibilities associated with this role:
1. Planning and Coordination of Special Projects
- Develop and implement project plans for all allocated special projects, ensuring compliance with deadlines and contract specifications.
- Liaise with stakeholders to advise and support them in the project conceptualisation and execution process.
2. Project Management Systems and Processes
- Develop and optimise project management systems and controls to ensure smooth project implementation.
- Monitor and evaluate the progress of all special projects, driving improvements in project delivery.
3. Stakeholder Engagement and Reporting
- Coordinate and facilitate stakeholder meetings/workshops related to special projects.
- Provide detailed reports on project progress and budget alignment, ensuring timely completion of project deliverables.
4. Budget Management
- Develop and manage project budgets, ensuring that all project expenditures align with the budget specifications.
5. Contract and Compliance Management
- Oversee the administration of contracts related to special projects, ensuring compliance with agreed terms and conditions.
- Maintain proper records for audit purposes, supporting both internal and external audits.
6. Quality Assurance and Continuous Improvement
- Ensure that all special projects meet the highest quality standards through rigorous evaluation and feedback processes.
- Represent ETDP SETA in relevant meetings and forums, providing formal reports on all stakeholder interactions.
