Key Responsibilities
As a Registry Clerk in the Office Support Services, you will play a pivotal role in ensuring the smooth operation of registry and archive services within the Government Motor Transport. Here are some of the main duties and responsibilities associated with this role:
- File Management
- Open physical files upon request, maintain file covers, and accurately file correspondence.
- Capture file details for efficient record-keeping.
- Close files and prepare them for archiving or destruction as per departmental guidelines.
- Mail and Dispatch
- Manage and log outgoing and incoming correspondence, including registered mail.
- Frank mail and ensure timely dispatch to relevant departments or individuals.
- Record Maintenance
- Maintain essential registers, including logs of opened and closed files, franked mail, registered mail, and other dispatched items.
- General Support
- Assist with messenger and driving duties when needed to ensure efficient operations within the Mobility Department.
Essential Requirements
To be considered for this role, applicants must meet the following minimum qualifications and requirements:
- Educational Requirement:
- Grade 12 (Senior Certificate or equivalent qualification)
- Additional Requirements:
- Valid Code B/EB driver’s license.
- Proficiency in basic computer skills, especially in MS Word and Excel.
Recommended Skills and Experience
While not mandatory, the following skills and qualifications will be advantageous for applicants:
- Computer Literacy: Familiarity with MS Office Suite, particularly Word and Excel, is recommended.
