Personal Assistant Job Function
The primary function of this role is to provide secretarial and administrative support to the Arts Development Unit, ensuring the smooth and effective day-to-day operations of the Arts Development Manager.
Key Responsibilities
As the Personal Assistant to the Arts Development Manager, you will be responsible for:
- Diary Management: Effectively manage the manager’s diary to ensure efficiency and adherence to key deadlines.
- Telephone Call Management: Handle incoming calls professionally to maintain smooth communication channels.
- Meeting Planning: Organize and coordinate meetings and logistics efficiently.
- Correspondence Management: Manage all correspondence, ensuring timely responses and actions.
- Minute Taking: Accurately record minutes of departmental meetings for official records.
- Travel Arrangements: Coordinate travel arrangements for the manager, department, council, and committees.
- Filing Systems Management: Maintain both paper and electronic filing systems for effective record-keeping.
- Stakeholder Relationship Management: Uphold the entity’s image by maintaining positive relationships with internal and external stakeholders.
- Budget Compliance: Ensure tasks are performed within the allocated budget and comply with policies and procedures.
- Audit Maintenance: Maintain a clean audit by adhering to all processes and procedures.
Key Requirements
To be considered for this exciting opportunity, you should have:
- Educational Qualifications: Matric and an Administrative and/or Secretarial qualification.
- Experience:
- 4-5 years in a similar position.
- 2 years of General Administration experience.
- 2 years of experience in both Public and Private sectors (desirable).
- Skills and Knowledge:
- Proficiency in MS Office Suite.
- Strong communication skills with stakeholders.
- Experience in travel and diary management.
- Knowledge of the application review process.
- Competence in report and submission writing.
- Ability to analyze high volumes of data (desirable).
- Excellent presentation skills.
