Key Responsibilities
The role encompasses two primary areas of focus:
1. Project Administration
- Providing administrative support to local government teams.
- Managing diaries, scheduling meetings, and documenting minutes.
- Facilitating secretariat functions for committees and ensuring governance compliance.
- Assisting in developing and maintaining project schedules and management plans.
- Performing delay analyses, forecasting trends, and providing early warnings for schedule changes.
- Managing procurement and contract administration, including processing invoices and claims.
- Liaising with internal departments like Supply Chain Management (SCM), Legal, and ICT.
- Preparing and consolidating reports, presentations, and performance updates.
- Supporting the preparation of client meeting materials and proposals.
- Tracking project deliverables throughout the lifecycle using systems like SAP.
2. Project Reporting and Records Management
- Monitoring and reporting on project schedule performance.
- Consolidating performance reports, including risks and budget variances.
- Preparing detailed monthly programme cost reports.
- Maintaining an organised records management system for documents such as contracts and proposals.
- Administering the service provider database to ensure information is centralised and accessible.

Qualifications and Experience
To excel in this role, candidates must meet the following requirements:
- Education: Diploma in project management, administration, or a related field.
- Experience: Minimum of 3 years in a similar administrative role.
- Skills:
- Knowledge of project methodologies (e.g., PMBOK, Prince2).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, and MS Projects).
- Experience in supply chain management and financial reporting.
- Ability to prepare high-quality reports and presentations for senior stakeholders.
- Familiarity with systems like SAP for data management and analysis.
