Key Responsibilities
As an Administrative Assistant in the Financial Aid Division, your role is pivotal in ensuring the smooth implementation of financial aid policies and processes. Below is a summary of the duties:
General Office Duties
- Manage full bursary administration, including maintaining an organized online filing system.
- Update student correspondence records and process financial aid forms.
- Perform data capturing and enforce internal financial aid processes.
- Undertake other administrative duties as assigned by the line manager.
Customer Advice & Support
- Provide assistance to students at reception, resolving queries or referring them to appropriate personnel.
- Offer initial screening of student queries before escalating them.
- Advise students about their application statuses and disseminate relevant financial aid information.
- Assist with bursary applications and other logistical tasks.
Team Participation
- Contribute to team efforts by maintaining professional relationships with colleagues.
- Participate in personal and professional development activities.
Systems and Reporting
- Access and view student records on ITS systems.
- Prepare and submit weekly and monthly reports to senior financial aid counselors.
- Provide monthly feedback during departmental meetings.
Minimum Requirements
To qualify for this position, candidates must meet the following criteria:
Educational Qualifications
- M+3 qualification in Business Administration, Office Management, or an Accounting-related field.
Experience
- At least one year of experience in a higher education setting.
- Familiarity with an office environment, including administrative and organizational tasks.
Skills and Competencies
- Proficiency in Microsoft Office (Word, Excel, etc.).
- Strong communication skills, both verbal and written.
- Basic knowledge of ITS systems is advantageous.
